TIMETABLE: MERITS AND SPECIAL REVIEWS

November 1 - 12:

  • Review Initiators confer with Librarians.
  • Any Librarian who is not automatically scheduled for a Merit Increase Review during this review period but who wishes to be reviewed should inform the Review Initiator by November 8.
  • Candidates and Review Initiators may begin to assemble documentation at any time.

December 10:

Librarians at or above the rank of Librarian III are expected to prepare more complete documentation of significant achievement. This may include names from which letters of evaluation may be solicited. Those names must be provided to the Review Initiator by December 10.

December 13 - February 4:

Review Initiators and Librarians assemble the formal documentation which will be used in the review, including:

  • Review Initiator's and Unit Head's recommendations
  • Librarian's signed self-evaluation
  • Copies of reports, articles and books which the candidate has authored or edited and other documentation which the candidate believes may be of assistance in the evaluation.
  • New or updated Biography Form 1501

January 17 - 28:

Requests for deferral of a scheduled Merit Increase Review must be made to the Review Initiator and CAPA by January 28.

February 1 - March 15:

Review Initiators should prepare and submit formal Merit Increase recommendations to APO by March 15.

March 13 - 31:

APO forwards documentation for all Merit Increases in the Librarian Series (including accelerated and decelerated merits) to CAPA.

April 3 - May 15:

CAPA reviews dossiers for Library-wide parity and confers with the Vice Provost about any problems.

June 1:

Last date for CAPA to forward documentation and recommendations to the Vice Provost.

June:

The Vice Provost makes advancement decisions and consults with CAPA as required.

TIMETABLE: PROMOTIONS AND CAREER STATUS REVIEWS

November 1 - 12:

  • Review Initiators confer with Librarians.
  • Any Librarian who is not scheduled for an automatic review during this review period but who wishes to be reviewed should inform the Review Initiator by November 5.
  • Review Initiators and Librarians begin assembling the relevant documentation for Promotion and Career Status Reviews in those cases where:
    • The Librarian is scheduled for a review, or
    • The Department Head intends to initiate a review, or
    • The Librarian intends to request a review.
  • Candidates should begin to assemble their dossiers.

November 12:

By November 12, the candidate may suggest the names of persons from whom letters of evaluation may be solicited.

November 1 - December 3:

  • The Review Initiator solicits letters evaluating the candidate from qualified persons, including a reasonable number of persons whose names have been provided by the candidate.
  • Requests for deferral of a scheduled Promotion or Career Status Review must be made known to the Vice Provost's office and to CAPA by mid-November. Review Initiator prepares the information which will form the justification for their recommendations.
  • Concerns should be discussed with the candidate by the Review Initiator, and consideration should be given to the content of documentation that addresses such concerns.

December 1 - 17:

Review Initiators and Librarians assemble the formal documentation which will be used in the review:

  • Review Initiator's and Department Head's recommendations
  • Librarian's signed self-evaluation
  • Copies of reports, articles and books which the candidate has authored or edited and other documentation which the candidate believes may be of assistance in the evaluation
  • New or updated Biography Form 1501
  • Confidential letters solicited by the Review Initiator

December 17:

Documentation should be completed and forwarded to APO, which will provide a list of names of the Promotion and Career Status candidates to CAPA.

December 17 - January 25:

CAPA nominates the Ad Hoc Review Committees and consults with the Vice Provost about final appointments to the committees.

January 28:

The Vice Provost appoints Ad Hoc Review Committees.

February 14:

All promotion recommendations with complete documentation must be received by APO.

February 1 - March 31:

Ad Hoc Review Committees meet, review documentation and prepare recommendations. Committee reports must be submitted to CAPA by March 31.

February 1 - April 28:

CAPA reviews documentation, including the Ad Hoc Review Committee recommendations. CAPA prepares its own recommendations and transmits them to the Vice Provost by April 28.

April 28 - June 30:

The Vice Provost makes advancement decisions and consults with CAPA as required.
